Customer database software: how to choose

What client and customer database software has to hold, the four kinds to choose from, the mistakes that make one go stale, and how to build your own.

Short answer: customer database software keeps one record per customer, with their contacts, history, orders and documents linked to it, so everyone works from the same facts. A small business has four kinds to choose from: a spreadsheet, a packaged CRM, an online database, or a database app built around your own process. A spreadsheet is fine for a short list one person keeps. A CRM fits when the work is a sales pipeline. An online database fits a team that wants flexible tables. A built app fits when customers, field staff or partners need to log in and see only their own records. This guide covers what a client database has to hold, how the four kinds compare, the mistakes that make one go stale, and how to build one on Tadabase AI.

What a client or customer database is

A customer database, also called a client database, is a structured record of the people and companies you serve, with everything you know about them linked to each record. The difference from a contact list is the links: one customer has many contacts, many orders and many conversations, and each of those is stored once and connected to the customer instead of being copied across sheets.

What it holdsTypical fieldsWhy it matters

The four kinds of customer database software

Most lists of the best customer database software mix four different kinds of tool. Choose the kind first and the product second. Each row below describes the kind, not any one product.

KindExamplesGood atWhere it stops
SpreadsheetExcel, Google SheetsFree, familiar, quick to startNo linked tables, everyone with the file sees every row, and an overwritten cell loses its history
Packaged CRMSalesforce, HubSpot, Zoho CRMA ready-made sales pipeline, email tracking and forecastsShaped around a sales team; fields and stages beyond the defaults take admin work, and pricing is usually per user
Online databaseAirtable, SeaTableFlexible typed tables and views a team can share quicklyBuilt for the team; an app for customers or field staff is a separate step
Database app builderTadabase AIYour own tables, roles, forms and workflows, with logins for staff and customers and per-record rules enforced on the serverYou decide the structure, or describe it and let the AI propose it; more setup than a spreadsheet on day one

The deciding question is who needs to use the data. If it is only your team, any of the first three can work. If customers, field staff or partners need their own login and should see only their own records, you need roles and row-level rules, which is what a database app adds.

What to look for in client database software

  • Linked tables, not one wide sheet. Customers, contacts, orders and activities as separate tables linked to each other, so a phone number lives in one place.
  • Typed fields and required fields. A date is always a date and a required field is never blank. That is what keeps a database clean after the first month.
  • Import from what you have. CSV import with column mapping, so the spreadsheet you use today becomes the first version without retyping.
  • Access per record, not per file. Staff see their assigned customers and a customer sees only their own records. The rule should run on the server, not as a filter on a page.
  • A price that does not punish growth. Check the bill at ten colleagues, and whether customers who log in count as paid seats.
  • Automation on the record. Reminders, follow-ups and notifications that fire when a record changes or a date arrives.
  • Search and reports. Find any customer in seconds, and count, sum or average by owner, status or month.
  • A way out. CSV export at any time, and an API if other systems need the data.

Mistakes that make a customer database go stale

  • One giant table. Every contact, order and note in one sheet means copies, and copies drift apart.
  • No owner per record. If nobody owns a customer, nobody updates it. Make the owner a required field.
  • Free text where a choice belongs. "Active", "active " and "Actve" are three statuses to a filter. Use choice fields for status, source and type.
  • Importing duplicates. Decide which field you match on (usually email or company domain) and clean duplicates before the first import, not after.
  • All or nothing access. If the only way to give someone access is to give them everything, people keep side lists instead, and the database stops being the truth.
  • Buying for a sales team you do not have. A forecast module helps a sales floor. A three-person firm needs follow-ups that happen on their own.

Build a client database on Tadabase AI

Tadabase AI builds the database app from a description: tables, links, roles, row-level rules, forms and workflows, on a backend that is already running, so there is no server to set up. Describe your customers and the people who touch them. For example:

A customer database for our landscaping company: customers, properties, contacts, jobs and invoices. Office staff see every customer, crew leads see only the jobs assigned to them, and each customer logs in to a portal to see their own properties, upcoming jobs and invoices. Remind the account owner 30 days before a customer's contract renews.

The AI builds the tables, roles, rules and workflows with sample data. Then refine what it built:

  • Bring your list. Import the spreadsheet you use today as CSV, one sheet per table, mapping columns to fields.
  • Link the tables. A customer has many contacts, jobs and invoices. Changing a field type or adding a link is a setting, not a formula.
  • Set who sees what. Roles plus row-level security: crew leads get the records assigned to them, customers get the records connected to the logged-in user, and a policy can hide fields such as pricing or internal notes from a role. The rules run on the server.
  • Automate the follow-ups. Workflows run when a record is created or changed, or on a schedule: a renewal reminder, a welcome email, a task for the owner.
  • Ask the data questions. People using the app can ask questions about the data in plain words, limited to what their role may see, and turn an answer into a recurring emailed report.

What it costs on Tadabase AI

Every account starts on the free plan with no card: 5 credits a day plus a one-time 300-credit welcome bonus, and no trial clock. App users are unlimited on every plan, so the customers and staff who log in to your app are not priced as seats. Paid plans differ mainly in credits, published apps and how many records each app holds:

PlanMonthlyBilled annuallyRecords per app
Starter$25$21 a month25,000
Pro$50$42 a month100,000
Team$100$84 a month250,000

Higher plans also add builder seats for the colleagues who change the app. Current details are on tadabase.com/pricing.

Common questions

What is the best customer database software for a small business? The one whose kind matches who uses the data. For a short list one person keeps, a spreadsheet. For a sales pipeline, a CRM. For a team's flexible tables, an online database. For anything customers or field staff log in to, a database app builder.

What is the difference between a client database and a CRM? A CRM is a client database with a sales process built in. If your process is not a sales pipeline, the database plus your own workflow fits better than a pipeline you work around.

Is Excel a good customer database? For a few hundred rows one person maintains, yes. It breaks when several people edit at once, when one customer has many contacts or orders, or when someone outside the team should see some rows and not others.

What is a cloud-based customer database? One that lives on a server instead of in a file on a laptop, so your team, and your customers if you allow it, reach it from a browser with their own logins.

What should a customer database include? At minimum customers, contacts, activities and tasks, each linked to the customer. Then whatever your business sells or delivers (orders, jobs, engagements, tickets) and the files that go with them.

Can customers log in to see their own records? On Tadabase AI, yes. Give them a role and a row-level policy scoped to records connected to the logged-in user, and they see their own jobs, invoices or documents and nothing else.

Can I move my existing customer list? Yes. Export it as CSV from your spreadsheet or current tool and import it, one file per table, mapping each column to a field.

How do I keep customer data private? Limit access by role and by record, hide sensitive fields from roles that do not need them, keep files in the database rather than in email, and remove access the day someone leaves.

Where to start

List everyone who touches customer data today: you, your team, field staff, the customers themselves. If it is only you, keep the spreadsheet a while longer. If it includes anyone outside the office, describe the app to Tadabase AI and import your list.
