Short answer: the main Zapier alternatives are Make (a visual scenario builder), n8n and Activepieces (open source, and you can host them yourself), Pabbly Connect (a lower-cost option with one-time plans), Workato and Microsoft Power Automate (enterprise and Microsoft 365 shops), and, when the data already lives in an app your team uses, the workflows built into that app. The biggest difference between them is what they count. Zapier bills per task, Make per credit, n8n per execution of a whole workflow, Activepieces per run, and Power Automate per user or per bot. This guide compares how each one bills, what is free, which kind of team each fits, and when you need no connector at all.

What Zapier does well #
Zapier connects more apps than anyone else: its pricing page lists 9,000+. A Zap is a trigger in one app and actions in others, and for a two-step automation between popular tools it is still the quickest thing to set up.
- Free: 100 tasks a month, two-step Zaps only, checked every 15 minutes.
- Professional: from $19.99 a month billed annually ($29.99 monthly) for 750 tasks, with multi-step Zaps and premium apps.
- Team: from $69 a month billed annually ($103.50 monthly) for 2,000 tasks, checked every minute.
- What counts: a task is an action Zapier completes for you. Triggers, failed actions and Zapier's built-in tools (such as Formatter and Paths) do not count; some AI actions cost more than one task.

Why teams look for a Zapier alternative #
- The bill grows with every step. A Zap with four app actions that runs 1,000 times a month uses about 4,000 tasks, which moves you from the 750-task tier to the 5,000-task tier ($89 a month billed annually on Professional).
- Logic gets hard to read. Many branches, loops over lists and error handling are easier to follow on a canvas than in a long list of steps.
- The data lives somewhere else. A Zap moves records between tools; it does not hold them. If the automation is really a process (requests, approvals, orders), the records, the people and the rules end up in three places.
- Hosting and control. Some teams need the automation on their own servers, for data residency or for cost.
How each alternative bills you #
Each product counts something different, so the same workflow can cost very different amounts. This is what each pricing page said on October 29, 2026.

|---|---|---|---|
| Zapier | Tasks: each action completed | 100 tasks a month, two-step Zaps | $19.99/ |
| Make | Credits: each module action, most use 1 | 1,000 credits a month | Priced by the number of credits you buy |
| n8n | Executions: one run of a whole workflow, however many steps | Self-hosted Community Edition on GitHub | €20/ |
| Activepieces | Credits: one per run, whatever the step count; AI steps cost more | 1,000 credits a month, up to 5 users | $20/ |
| Pabbly Connect | Tasks: action steps only; triggers and internal steps are free | 100 tasks a month | Monthly and one-time (lifetime) plans; price shown in your local currency |

The Zapier alternatives, by what they do #
| Option | What it is | Best for |
|---|---|---|
| Make | A visual canvas where each module is a step and the whole scenario is laid out as a diagram | People who want to see the whole flow and build complex logic without code |
| n8n | A node-based workflow tool with code steps, available as a cloud service or self-hosted | Technical teams that want control, code where it helps, and the option to run it themselves |
| Activepieces | An open-source automation builder with flat per-run credits, cloud or on your own servers | Teams that want a simpler open-source option and predictable pricing for long flows |
| Pabbly Connect | A Zapier-style builder where only action steps use tasks, with one-time plans | Small teams on a tight budget with straightforward automations |
| Workato | An enterprise integration platform with governance, on-premise connectivity and quoted editions | IT-led companies automating across many departments and systems |
| Power Automate | Microsoft's cloud flows plus desktop RPA, priced per user or per bot | Companies standardised on Microsoft 365, Dataverse and Windows desktops |
| Workflows inside your app | The automation lives in the app that holds the records, users and permissions | Processes such as requests, approvals, orders and onboarding, where the data and the steps belong together |
When the workflow belongs inside the app #
Look at your Zaps. If most of them copy a form submission into a spreadsheet, email someone, and update a status in a third tool, the problem is not the connector: it is that the process has no home. Put the records, the people and the steps in one app, and most of those Zaps disappear.
That is how workflows work in Tadabase AI. You describe the app (the tables, the roles, who sees what) and the AI builds it with the database, logins, workflows and hosting behind it. Each workflow is a trigger and a list of steps you can open and edit:
| Part | What it covers |
|---|---|
| Triggers | Record Created, Record Update, Schedule, Manual (a button on a page), User Event (login, registration), Incoming Webhook, Email Catcher, and the API |
| Logic | Conditions, branches that send each record down the first path it matches, and loops over up to 500 records or 10,000 list items |
| Steps | Create, update and connect records, send email, create PDFs, export CSV, run an AI prompt, and Run Custom Code in JavaScript or Python |
| Integrations | Steps for Stripe, QuickBooks, Xero, Slack, Twilio, Mailchimp, Pipedrive, Monday.com, Airtable, Google Docs and more, plus Custom API for anything else |
| Testing | A dry run walks the workflow without sending email or writing records; History shows every run, each step and the records it touched |
Your plan sets how many workflows and steps you can have, how often schedules run, and whether Incoming Webhook and Email Catcher are included. Every account starts with a 14-day free trial, and app users are unlimited on every paid plan, so the people the workflow serves do not add to the bill.
How to choose #
| If you… | Look at |
|---|---|
| Connect many SaaS tools with short, simple automations | Zapier, or Pabbly Connect on a budget |
| Build long or branching flows and want to see them | Make or n8n |
| Need to self-host or keep data on your own servers | n8n or Activepieces |
| Run on Microsoft 365 or need desktop automation | Power Automate |
| Need governance across many departments | Workato |
| Are automating a process whose records live in spreadsheets and inboxes | An app with its own database and workflows, such as Tadabase AI |
Many teams end up with both: a connector for the handful of tool-to-tool syncs, and the business process itself in an app where the records, roles and workflows live together.
Move one process off Zapier with Tadabase AI #
Pick the process with the most Zaps attached to it and describe it in a paragraph. For example:
An order intake app: customers submit an order form with items, quantities and a delivery date. Each new order gets a number, the operations team is emailed, and the customer gets a confirmation. Operations staff see every order; customers see only their own. When an order is marked Shipped, email the customer the tracking number and create a PDF packing slip. Every morning, list orders due in the next two days that are not yet shipped and send them to the operations manager.
- Check the tables and roles the AI proposes, and the row-level rule that shows customers only their own orders.
- Open each workflow (Record Created, Record Update when the status becomes Shipped, and the morning Schedule) and edit the wording and conditions.
- Keep the connectors you still need as integration steps or a Custom API call, for example posting a new order to Slack.
- Import your history from a CSV export of the spreadsheet the Zaps were writing to.
- Run a dry run, then one real order, and watch it in the workflow's History before you switch the old Zaps off.
Common questions #
What is the best free alternative to Zapier? For a hosted free plan, Make includes 1,000 credits a month and Activepieces 1,000 credits a month. If you can run your own server, n8n's Community Edition and Activepieces can be self-hosted. Zapier's own free plan has 100 tasks a month.
Is Make cheaper than Zapier? It depends on the flow. Make's free plan includes 1,000 credits a month against Zapier's 100 tasks, but a Make credit is spent on each module action while Zapier does not count triggers or its built-in tools. Price your busiest automation on both before you switch.
Which Zapier alternative bills per workflow run instead of per step? n8n counts an execution as one run of the whole workflow, and Activepieces charges one credit per run, whatever the number of steps (AI steps cost more).
Can Tadabase AI replace Zapier? For automations around data that lives in a Tadabase AI app, yes: triggers, conditions, loops, email, PDFs, integrations and custom code are built in. For syncing two other tools with no app of yours in between, a connector is still the better fit.
Can a Tadabase AI app receive data from other tools? Yes. An Incoming Webhook trigger gives a workflow its own URL that payment, form and other tools can send to, and workflows can also be started from the API, depending on your plan.
Do I need to code? No. You describe the app, then change the workflow steps in settings. A Run Custom Code step (JavaScript or Python) is there for the calculation no other step does.
Where to start #
List your Zaps and sort them into two piles: tool-to-tool syncs, and steps of one business process. The first pile stays with a connector, and the pricing table above tells you which one. The second pile is an app waiting to be built: describe that process to Tadabase AI, run it beside the Zaps for a week, then switch them off. Every account starts with a 14-day free trial, no card needed.
