Short answer: a free online learning management system (LMS) is free in one of three ways. Open-source platforms such as Moodle and Open edX charge no license fee, but you pay for hosting and upkeep. Education suites such as Google Classroom are free for qualifying schools. Commercial LMS vendors such as TalentLMS offer a free plan with a cap on users and courses. Which one fits depends less on the price tag than on the job: delivering courses to many learners, or keeping a reliable record of who was trained on what. This guide compares the free options, explains what free really costs, and shows when a small training team is better served by building its own training tracker on Tadabase AI.

What a learning management system does #

Before comparing products, separate the jobs. Most teams need some of these, rarely all of them.

JobWhat it looks likeWho usually needs it
Course deliveryLessons, videos, files and quizzes arranged into a course a learner works throughSchools, course creators, large training teams
EnrollmentWho is assigned to which course, by when, and by whomEveryone
Progress and completionWhich lessons each learner finished, quiz results, a completion dateEveryone
Certificates and expiryA certificate on completion and a reminder before it lapsesCompliance, healthcare, field teams, staffing
ReportingWho is overdue, which team is behind, what is expiring next monthManagers and auditors
Who sees whatLearners see their own record, managers see their team, admins see everythingAnyone with more than one team

The free LMS options worth knowing #

These are the free options most teams shortlist, grouped by how they are free. Each line was read on the vendor's own site on 2026-10-10; plans change, so check before you commit.

What free actually costs #

  • Hosting and upkeep. Open source removes the license fee, not the server, the updates or the person who keeps it running.
  • User caps. A free plan priced by learner is a trial in practice: the plan that fits a team of 30 is the paid one.
  • Eligibility. Education suites are free for qualifying schools; a training company or a clinic usually does not qualify.
  • Fit. A course player is built around content. If your requirement is a dated training record per person, with certificates and expiry reminders, you will bend the LMS around it.

When to build a training tracker instead #

Build your own when the record matters more than the course player: staff certifications that expire, onboarding checklists, a tutoring center's student progress, a small academy's enrollments and payments, or training tied to the rest of your operations data. Use a packaged LMS when you need SCORM course packages, a course marketplace, or large-scale course authoring, because a custom app will not replace those.

The tables behind a training tracker #

  • Courses: title, owner, required for which roles, how long a completion stays valid.
  • Lessons: linked to a course, with a file or a link to the video hosted elsewhere.
  • Learners: staff or students, linked to a team and a manager, with the login they use.
  • Enrollments: one learner in one course, with a due date and a status.
  • Attempts: one row per quiz submission, saved from a form.
  • Certificates: issued date and expiry date, linked to the enrollment.

Every table is typed and linked, so the question an auditor asks (who in this team holds a valid certificate for this course today) is a filter, not an afternoon in a spreadsheet.

Build it on Tadabase AI #

Describe the app in plain words. For example:

A training tracker for our team: courses with lessons, enrollments with due dates, a quiz form per course, and certificates that expire after a year. Admins manage everything, managers see their own team, and each learner sees only their own courses and certificates. Email a reminder 30 days before a certificate expires.

The AI builds the tables, roles, rules and workflows with sample data. Then refine what it built:

  • Roles and row-level security. Learners get a policy scoped to records connected to the logged-in user; managers get their team. The rule is enforced on the server, not by a filter on the page.
  • Forms for quizzes and sign-offs. A submission saves an Attempts row, and a workflow on that record updates the enrollment.
  • Certificates. A PDF page generated from the certificate record, triggered by a workflow.
  • Reminders. A scheduled workflow emails learners and their manager before a due date or an expiry, from an email template you can edit.
  • Existing records. Import your current spreadsheet of staff and completions as CSV.

Common questions #

Is there a completely free LMS? Open-source platforms such as Moodle and Open edX charge no license fee, but someone pays for the server and the upkeep. Free plans from commercial vendors cap users or courses.

Can I use Moodle without technical skills? Self-hosting Moodle takes someone who can run a server. MoodleCloud, Moodle's own hosted option, removes the server work and is aimed at educators and small organisations; it is a paid plan with a free trial.

Is a free LMS enough for a large institution? Open-source platforms scale when you fund the hosting and the people who run them. Free plans from commercial vendors cap users or courses, so a large organization outgrows them quickly.

Are free LMS tools secure? The software can be, but with self-hosted open source you own the patching, backups and access control. With a free hosted plan, check where learner data is stored and who can export it before you add real names.

Is Google Classroom free for businesses? The free edition, Google Workspace for Education Fundamentals, is for qualifying educational institutions. A company training its staff usually does not qualify.

What is the difference between an LMS and a training tracker? An LMS delivers and sequences course content. A training tracker is the record of who is assigned what, who completed it, and what is expiring. Many teams need the record more than the player.

Can Tadabase AI host video lessons? Store lesson files in file fields, or link to videos hosted on a video platform. Tadabase AI is not a SCORM player; if you need SCORM packages, use an LMS.

How many learners can log in? App users are unlimited on every Tadabase AI plan, so adding learners does not change the price.

Can I try it for free? Yes. Every account starts on the free plan with no card: 5 credits a day plus a one-time 300-credit welcome bonus.

Where to start #

List the courses you must prove completion for and the one sentence that says who may see whose record. If a free LMS covers delivery and that sentence, use it. If the record is the hard part, describe your training tracker on Tadabase AI; schools can start from the school management guide at tadabase.com/blog/school-management-software and the education page at tadabase.com/solutions/education.
