Order management spreadsheet template. Free, and ready to become an app.
Orders, customers, products, vendors and shipments in one workbook, with a dashboard of total, pending and shipped orders. Download it free. When customers start asking "where is my order?", describe the same structure to Tadabase AI and it builds the order app, including a portal where each customer sees only their own orders.
Excel · Google Sheets · Numbers · 6 sheets
Rather have it as an app? Describe it — we’ll build it now.
Same structure as the spreadsheet, plus logins, roles and workflows. Free to start.
6 sheets, already linked by ID.
Each sheet is one kind of record. The ID columns are how the sheets point at each other, and they are the same links the app version turns into real relationships.

Fine for one person. Hard for a team.
Where the spreadsheet starts to cost you time once more people depend on it.
-
IDs are typed by hand
An order points to a customer and a product by ID. One typo and the order belongs to nobody, and the totals are quietly wrong.
-
Customers cannot check their own orders
Every status question becomes an email or a call, because you cannot share one customer's rows without sharing everyone's.
-
Nothing happens when the status changes
Marking an order "Shipped" does not email anyone or update stock. Each step is another manual job.
Same structure, with logins and automations.
Start from a real prompt, change anything that doesn’t fit, then build it.
Loads this prompt into the prompt box- Order management app An order management app — customers, products with price and stock, vendors, orders with line items, and shipments with carrier and tracking number. Staff create and update orders; when an order is marked shipped the customer gets an email with the tracking link and stock goes down automatically. Managers see a dashboard of open, late and shipped orders and sales by month.
- Wholesale ordering portal A B2B wholesale ordering portal — approved retail customers log in and place orders at their negotiated price tier, see live stock availability, and track order status through fulfillment; sales reps see order history and reorder patterns for their assigned accounts; and the operations team works a pick-and-ship queue. Customers below their minimum order threshold get a prompt before checkout.
- Customer order tracking portal A customer portal for an order business — each customer logs in to see only their own orders, invoices and shipment tracking, can reorder past items, and can open a question on a specific order that goes to the right staff member.

Questions about this template.
Is the spreadsheet template really free?
Yes. It is a normal .xlsx file that opens in Excel, Google Sheets or Numbers. No sign-up is needed to download it.
Can each customer see only their own orders?
In the app, yes. The AI builds a customer role and a security rule that limits every customer to their own orders and shipments, enforced on the server for every record.
Can I bring the data I already have in the spreadsheet?
Yes. Once the app is built, import each sheet into the matching table from a CSV or Excel file. The importer maps your columns to the fields and shows any row it could not bring in, and why.
When should I move from the spreadsheet to an app?
When more than one person edits it, when someone outside your team needs to see part of it, or when you start copying rows between tabs by hand. Those are the points where a spreadsheet starts losing data quietly.
Keep the structure. Lose the copy-paste.
