School directory spreadsheet template. Free, and ready to become an app.
One workbook for everyone a school needs to reach: students with their grade, contact details and activities, staff by role and department, every class with its teacher, schedule and room, a daily attendance log and a list of reports. Download it free. When parents and teachers need to look people up, describe the same structure to Tadabase AI and it builds the directory app, with each role seeing only its own part.
Excel · Google Sheets · Numbers · 5 sheets
Rather have it as an app? Describe it — we’ll build it now.
Same structure as the spreadsheet, plus logins, roles and workflows. Free to start.
5 sheets, already linked by ID.
Each sheet is one kind of record. The ID columns are how the sheets point at each other, and they are the same links the app version turns into real relationships.

Fine for one person. Hard for a team.
Where the spreadsheet starts to cost you time once more people depend on it.
-
Sharing the directory shares all of it
Send the file to a parent and they get every student's birthdate, home address and phone number, not only their own child's class and teachers.
-
Teachers are typed in, not linked
The Classes sheet holds each teacher's name as text, not a link to their Staff row. When a teacher changes, every class they teach has to be found and fixed by hand.
-
Attendance is a log, not an alert
Each day adds rows by Student ID. Finding the student who has missed three days this month means filtering and counting, and nobody is told when it happens.
Same structure, with logins and automations.

Loads this prompt into the prompt box- School directory app A school directory app with students, staff, classes and parents. Each student has a grade, birthdate, contact details, address, activities and sports; each staff member has a role, department and hire date; each class is linked to its teacher, with a schedule and room number, and has a roster of enrolled students. The office manages every record; teachers log in to see the students in their own classes and their parents' contact details; parents log in to see only their own children, their classes and their teachers' contact details. Student birthdates and home addresses are visible to the office only.
- Classroom directory A classroom directory for a school — each class has a teacher, a room, a schedule and a roster of enrolled students with a parent contact for each. Teachers log in to see their own class rosters; the office sees every class, moves students between classes and sees how many students each class has.
- Daily attendance A daily attendance app for a school — teachers mark each student in their own classes present, absent or late, with a remark; the office sees today's absences in one list; each student's attendance percentage for the term calculates automatically; and the office gets an email when a student is absent three days in a row.

Questions about this template.
Is the spreadsheet template really free?
Yes. It is a normal .xlsx file that opens in Excel, Google Sheets or Numbers. No sign-up is needed to download it.
Can parents look up teachers without seeing other families' details?
In the app, yes. The AI sets up separate roles: parents see their own children and those children's teachers, teachers see the students in their own classes, and the office sees everything. That rule is enforced on the server for every record, not by hiding columns.
How is this different from the school management template?
This one is a directory: who is in the school, how to reach them, which class meets where, and who was present today. The school management template adds GPA, teacher ratings, time slots per class and room, and a parent contact sheet. Both are free, and either one can become an app.
Can I bring the data I already have in the spreadsheet?
Yes. Once the app is built, import each sheet into the matching table from a CSV or Excel file. The importer maps your columns to the fields and shows any row it could not bring in, and why.
When should I move from the spreadsheet to an app?
When more than one person edits it, when someone outside your team needs to see part of it, or when you start copying rows between tabs by hand. Those are the points where a spreadsheet starts losing data quietly.
Keep the structure. Lose the copy-paste.
