WHAT'S INSIDE

6 sheets, already linked by ID.

Each sheet is one kind of record. The ID columns are how the sheets point at each other, and they are the same links the app version turns into real relationships.

Unit ID · Property Name · Unit Number · Type · Occupancy Status · Rental Rate · Lease End Date

  • Tenants

Tenant contacts linked to their unit, with lease start and end dates.

Tenant ID · Name · Email · Phone · Unit ID · Lease Start Date · Lease End Date · Status

  • Lease Applications

Applications per unit with submission date, review status and comments.

WHERE THE SPREADSHEET STOPS

Fine for one person. Hard for a team.

The template works well while one person keeps it. These are the places it starts to cost you time once more people depend on it.

  • Tenants still call to report a leak

The Work Orders sheet only fills when someone in the office types the phone call into it.

  • Notifications are a log, not a message

The sheet records that someone should be told. It cannot tell them.

  • Lease end dates slip by

Renewals depend on someone sorting by date every month and remembering to act on it.

TURN IT INTO AN APP

Same structure, with logins and automations.

Pick the prompt closest to how you work. The builder opens with it pre-filled; edit it to match your business, and Tadabase AI builds the tables, roles, screens and workflows. Then import the rows you already have from the spreadsheet.

  • Property management

    Property management app

A property management app — properties and units with rent and occupancy, tenants linked to their unit and lease dates, lease applications that staff review and approve, and maintenance work orders assigned to technicians. Tenants log in to submit work orders with photos and see their status; technicians see only their assigned jobs; managers get an email 60 days before any lease ends and see a dashboard of vacant units and open work orders.

  • Property management

    Tenant & property portal

A property management portal — tenants pay rent, submit maintenance requests with photos, and see their lease documents and payment history; maintenance staff and vendors work an assigned queue with status updates the tenant can see; and property managers oversee occupancy, delinquency, and open work orders across buildings. Lease renewals surface 90 days out with one-click renewal offers.

  • Property management

    Rental applications and leasing

A leasing app — applicants apply for a specific unit online with their details and documents, staff review, approve or decline each application with notes, approved applicants become tenants linked to the unit, and the unit's occupancy updates automatically.

Questions about this template.

Straight answers before you download or build.

Is the spreadsheet template really free?
Yes. It is a normal .xlsx file that opens in Excel, Google Sheets or Numbers. No sign-up is needed to download it.
Can tenants submit maintenance requests themselves?
In the app, yes. The AI builds a tenant role that can submit and follow work orders for their own unit only, and a technician role that sees only the jobs assigned to them.
Can I bring the data I already have in the spreadsheet?
Yes. Once the app is built, import each sheet into the matching table from a CSV or Excel file. The importer maps your columns to the fields and shows any row it could not bring in, and why.
When should I move from the spreadsheet to an app?
When more than one person edits it, when someone outside your team needs to see part of it, or when you start copying rows between tabs by hand. Those are the points where a spreadsheet starts losing data quietly.
