Sales expense tracker spreadsheet template. Free, and ready to become an app.

One workbook for a sales team's spending: every expense with its type, date, amount and approval status, the receipt behind it, the employee who spent it, each department's budget for the period and the reimbursement that pays it back. Download it free. When reps, managers and finance all work the same expenses, describe the same structure to Tadabase AI and it builds the expense app, with each rep seeing only their own claims and budgets that add themselves up.

Excel · Google Sheets · Numbers · 6 sheets

Rather have it as an app? Describe it — we’ll build it now.

Same structure as the spreadsheet, plus logins, roles and workflows. Free to start.

Plain English. It asks follow-up questions like a real developer.

6 sheets, already linked by ID.

Each sheet is one kind of record. The ID columns are how the sheets point at each other, and they are the same links the app version turns into real relationships.

  • Expenses

One row per expense: the employee, the type (travel, meals and so on), the date, the amount, a description and a status of Approved, Pending or Rejected.

Expense ID · Employee ID · Expense Type · Date · Amount · Description · Status

  • Receipts

The receipt for each expense by Expense ID and Employee ID, with the upload date, the file name and whether it has been verified.

Receipt ID · Expense ID · Employee ID · Upload Date · File Name · Status

  • Employees

Everyone who can claim expenses, with their department, email and phone.

Employee ID · Name · Department · Email · Phone

  • Budgets

Each department's budget for a period, with the amount allocated, used and remaining.

Budget ID · Department · Period · Allocated Budget · Used Budget · Remaining Budget

  • Reimbursements

The payback for each expense: approval date, reimbursement date, amount and a status of Paid, Pending or Rejected.

Reimbursement ID · Expense ID · Employee ID · Approval Date · Reimbursement Date · Amount · Status

  • Reports

A log of the reports you produce, such as the quarterly expense summary and the list of pending reimbursements.

Report ID · Report Name · Generated By · Generated Date · Remarks

Fine for one person. Hard for a team.

Where the spreadsheet starts to cost you time once more people depend on it.

  • The budget does not add itself up

Used Budget and Remaining Budget are typed in, not calculated from the Expenses sheet. Every approved expense means someone updating the budget row by hand, and the two drift apart.

  • A receipt is a file name, not the file

The Receipts sheet records "flight_receipt.pdf". The PDF itself lives in someone's inbox or downloads folder, so checking a claim means asking for it again.

  • Approval is a cell anyone can change

Status is a dropdown. Whoever has the file can set their own expense to Approved, nothing records who approved it, and the rep is not told when it happens.

Questions about this template.

Is the spreadsheet template really free?

Yes. It is a normal .xlsx file that opens in Excel, Google Sheets or Numbers. No sign-up is needed to download it.

Does this template track sales revenue?

No. It tracks what a sales team spends: travel, meals and other expenses, their receipts, approvals, budgets and reimbursements. To track orders and sales totals, start from the order management template.

Can each rep see only their own expenses?

In the app, yes. The AI sets up a rep role that sees only that rep's expenses and reimbursements, a manager role for approvals and a finance role that sees everything. That rule is enforced on the server for every record, not by hiding columns.

Can I bring the data I already have in the spreadsheet?

Yes. Once the app is built, import each sheet into the matching table from a CSV or Excel file. The importer maps your columns to the fields and shows any row it could not bring in, and why.

When should I move from the spreadsheet to an app?

When more than one person edits it, when someone outside your team needs to see part of it, or when you start copying rows between tabs by hand. Those are the points where a spreadsheet starts losing data quietly.

Keep the structure. Lose the copy-paste.
