FREE TEMPLATE Excel · Google Sheets · Numbers · 6 sheets

Inventory and warehouse spreadsheet template.
Free, and ready to become an app.

Track items, stock levels, reorder points and bin locations alongside the orders, shipments, suppliers and warehouse moves that change them. Download the workbook free. When the counts need to be right for everyone at the same time, describe it to Tadabase AI and it builds the inventory app, with low-stock alerts that actually fire.

Rather have it as an app? Describe it — we’ll build it now.

Same structure as the spreadsheet, plus logins, roles and workflows. Free to start.

WHERE THE SPREADSHEET STOPS

Fine for one person. Hard for a team.

The template works well while one person keeps it. These are the places it starts to cost you time once more people depend on it.

  • Stock does not move by itself

An order or a receipt in one tab does not change the stock level in another. Someone has to remember to update both.

  • Reorder alerts are a colour, not a message

A cell turns red when stock drops below the reorder level, but nobody is told unless they open the file.

  • The floor and the office see different files

Warehouse staff on a phone and buyers at a desk end up with copies that disagree by lunchtime.

TURN IT INTO AN APP

Same structure, with logins and automations.

Pick the prompt closest to how you work. The builder opens with it pre-filled; edit it to match your business, and Tadabase AI builds the tables, roles, screens and workflows. Then import the rows you already have from the spreadsheet.

  • Inventory & warehouse

    Inventory and warehouse app

An inventory and warehouse app — items with category, bin location, stock level and reorder point; receiving, picking and restocking moves update stock automatically; when an item falls below its reorder point the buyer gets an email with the supplier's details. Warehouse staff use a phone view to log moves, buyers manage suppliers and purchase orders, and managers see a dashboard of low stock and pending shipments.

  • Inventory & warehouse

    Inventory & purchase orders

An inventory system that tracks products and stock by warehouse and bin, alerts the buyer when stock falls below a per-item re-order point, and lets staff raise purchase orders to suppliers with an approval step above a spend threshold. Receiving posts against the PO and updates stock automatically, and every product shows a full movement history — receipts, transfers, adjustments, and sales.

  • Inventory & warehouse

    Orders and shipments tracker

An order fulfilment app — orders reserve stock when placed, warehouse staff pack and ship them with carrier and tracking number, the customer gets an email when the order ships and when it is delivered, and managers see late shipments on a dashboard.

Questions about this template.

Straight answers before you download or build.

Is the spreadsheet template really free?
Yes. It is a normal .xlsx file that opens in Excel, Google Sheets or Numbers. No sign-up is needed to download it.
Can stock update automatically when an order ships or a delivery arrives?
In the app, yes. Describe the rule ("a receipt adds to stock, a shipment takes it away") and the AI builds it as a workflow you can open and read, with the reorder email on top.
Can I bring the data I already have in the spreadsheet?
Yes. Once the app is built, import each sheet into the matching table from a CSV or Excel file. The importer maps your columns to the fields and shows any row it could not bring in, and why.
When should I move from the spreadsheet to an app?
When more than one person edits it, when someone outside your team needs to see part of it, or when you start copying rows between tabs by hand. Those are the points where a spreadsheet starts losing data quietly.
